Example: Serenity Health EMR

How Serenity Health EMR connects to Klargy, step by step, as a worked example for any records system.

About this example

Serenity Health EMR

serenity.health

An electronic medical records system for clinics and hospitals, and the first system built on Klargy Connect.

  • A ticket is created when a patient is checked in for a consultation.
  • Doctors call the next patient from the encounter, into the consulting room they picked.
  • Patients are sent on to the lab, imaging or pharmacy when tests or medicines are ordered.
  • A desk bar shows inside Serenity’s Reception, Billing, Triage, Outpatient and department workspaces.

Serenity ships a Queue management plugin that does the connecting. The steps below show what it does on the Serenity side, following the same steps as any system: the connection, matching and checking.

You need a Klargy plan that includes Connected systems (CRM, POS, EMR), a Klargy admin, and an admin in Serenity who can manage plugins. First create the API key in Klargy, as in step 1 of the general guide.

1. Turn on the plugin in Serenity

  1. In Serenity, go to Admin → Plugins and open Queue management. Subscribe if it isn’t on yet.
  2. Under Connection, enter your Klargy Workspace URL (for example https://yourclinic.klargy.com) and the API key. Press Save, then Test connection. It shows your Klargy organisation’s name when it works.
  3. Under Registration, add any other Serenity addresses that should show the queue desk, then press Register with queue system. Serenity tells Klargy where to send queue events. This is done once per organisation; the status changes to Registered by this organization.
  4. Under Catalogue, press Publish catalogue. Serenity sends its locations, clinics and departments, and practitioners to Klargy. Publish again whenever they change.

2. Match locations and services

Do this from Serenity, where you already know your locations and clinics. In the Queue management plugin, the Locations and services section comes after Catalogue.

  1. For each Serenity location, pick the Klargy location it is, or press Create in queue system. With Use the outpatient template ticked (the default), Klargy creates the location, sets up the outpatient journey and matches its services for you.
  2. Expand a location to see its clinics and departments, and pick the Klargy service for each one.
  3. Or press Auto-match. It shows the matches it suggests and why, such as the same name, and Apply saves them.

You can also match from Klargy: press Match on the connection under Integrations. It has the same Auto-match button.

3. Choose how they work together

In Serenity’s Queue management plugin, under Settings:

  • Start the consultation when the patient is called: off by default, so calling a patient doesn’t open an encounter by itself.
  • Mark the appointment no-show when the queue does, and Cancel the appointment when the ticket is cancelled.
  • Register kiosk walk-ins as new patients: only if Klargy collects the fields Serenity needs to register someone.
  • Patient journey: send patients to the lab or imaging queue when tests are ordered, and to the pharmacy when medicines are prescribed.
  • Queue desk by workspace: which Serenity workspaces (Reception, Billing, Triage, Outpatient, departments) show the floating desk bar, and which kinds of room each uses.

Press Save settings.

4. Check it end to end

  1. In Serenity, check a patient in for a consultation. A ticket appears in Klargy’s queue for the matched service.
  2. As a doctor, pick your consulting room in Serenity’s outpatient workspace, open the encounter and call the patient. The display screen announces the ticket and the room.
  3. End the encounter and choose where the patient goes next. Their ticket moves to that service, and their ticket page says where to go.

If something doesn’t work

Connect yours the same way

Everything Serenity does goes through Klargy Connect, so another system can do the same. If you build or run an EMR, CRM or point of sale and would like it connected, we’re glad to help.
