Patient queue management for clinics

A clinic queue system that empties the waiting room.

Patients check in with a QR code or at reception, see their place in line on their own phone, and get a text when the doctor is ready. Walk-ins and booked appointments share one fair list, from reception to the pharmacy.

Free plan for one location. Nothing for anyone to install.

What makes the wait worse

A full waiting room all morning

Everyone arrives at opening time because nobody knows when they will be seen. Chairs fill up, tempers shorten, and sick and well patients sit side by side.

"How much longer?" at the front desk

Reception spends the morning answering the same question instead of registering patients and handling payments.

Patients lost between rooms

After the doctor, patients queue again for the lab, then again for the pharmacy, and nobody can see who is waiting where.

One ticket from reception to the pharmacy

Klargy comes with a ready-made setup for clinics. Rename the steps, add or remove them, and you are ready to go.

  1. 1

    Reception

The patient scans the QR code on the door or is checked in at the desk. Booked patients are placed by their appointment time.

  2. 2

    Cashier

Patients pay or show cover before consultation. Unpaid patients are held back from the doctor list until they are cleared.

  3. 3

    Triage

Nurses call the next patient for vitals, then send them on to the doctor without a new ticket.

  4. 4

    Consultation

Each doctor calls from their own list in their own room. The room number goes up on the lobby screen.

  5. 5

    Lab, imaging and pharmacy

The doctor sends the patient on with one tap. The patient sees where to go next on their phone.

Palmgrove Family Clinic

A made-up a three-doctor family practice, to show how a day changes.

Palmgrove opens at 8:00 and sees most of its patients before noon. Half are walk-ins, half have appointments, and almost everyone needs the lab or the pharmacy after seeing the doctor.

Before

Patients used to arrive at 7:30 to be near the front of a paper list. Booked patients complained that walk-ins went first, and the pharmacy had its own separate line with no idea who was coming.

With Klargy

Now a QR code on the door issues a ticket and the patient can wait in the car or the café next door. Booked patients slot in by appointment time. When the doctor orders a test, they press "Send to lab" and the patient moves to the lab list, then on to the pharmacy, on the same ticket.

  • Reception registers patients instead of answering "how long?"
  • Doctors see who has finished triage before calling them
  • The manager can see which hours need a second nurse at triage

Questions people ask

What is a patient queue management system?

It is software that issues each patient a ticket, keeps the order of who is next for each doctor or service, and tells the patient when it is their turn. It replaces paper lists and the crowd at reception with a live list staff can call from and patients can follow on their phone.

Can patients without a smartphone still join the queue?

Yes. Reception can check them in from the desk, or you can put a tablet in kiosk mode at the entrance. Their number is called on the waiting room screen like everyone else.

How do appointments and walk-ins share one queue?

Booked patients are placed in the list by their appointment time when they arrive, and walk-ins are served in arrival order around them. Each desk sees who is booked and who walked in.

Does it work with our electronic medical records system?

Klargy has an API and a connector for medical records systems, so queue events (joined, called, served, sent on) can flow into the patient record, and doctors can call patients without leaving the EMR.
